[ ] Check the destination's access controls and retention requirements. [ ] Download the required files while they remain accessible. [ ] Use ZIP for a bulk download up to 2 GB or 2,000 files. [ ] For a larger export, use folder download in a Chromium browser. [ ] Export account data as JSON if it is part of the required record. [ ] Export the activity log as CSV from Account > Activity if needed. [ ] Compare file counts and names against the intended export scope. [ ] Open representative files and check that the export is usable. [ ] Record the date, scope and storage location of the verified export. FILES AND RETENTION A file download, account JSON and activity CSV are different outputs. Check what your receiving system needs; do not assume one output is a complete archive of every record or that it can be re-imported automatically. Free files expire 180 days after upload. Paid plans have no fixed retention limit while the subscription is active, subject to expiry dates and deletion. Cancellation and downgrade change retention/access; review the current policy before cancelling, and export anything needed while accessible. Do not treat an active portal as your only long-term archive. This checklist does not delete data, cancel a subscription or certify regulatory retention.
