Workspaces and deal rooms, or one portal per client

Two different jobs

Onehub is cloud storage organised into workspaces, with a strong secondary identity as a virtual data room. Its distinctive features point that way: stealth mode, where participants see the content but not each other; automatic document indexing that assigns numerical references across a complex folder structure; watermarking; audit trails on its higher tiers. It offers 1 TB on its Standard plan and unlimited storage above that, with native iOS and Android apps, a DocuSign integration and a public API.

Droplana is a client document portal. Each client has one private, persistent portal for two-way exchange, with a document checklist, per-file comments, file status tracking and in-browser PDF signing. There is no folder tree, no data room mode, no integrations and no API.

A due diligence process with forty parties reading a structured document set is Onehub's job. Two hundred clients each returning six documents a year is Droplana's. Neither is a general-purpose answer to the other.

Where Onehub is clearly better

Bulk storage. Unlimited storage on Advanced and above is not something we can match at any price. Our largest plan is 1 TB, extended in 500 GB increments. If your work is storage-heavy, this comparison ends here.

Data rooms. Stealth mode and automatic indexing are specific answers to a specific problem - a multi-party process where participants must not see each other and a document set needs stable numbered references. If you run transactions, due diligence or tenders, Droplana has nothing for you.

Workspace structure. Folder hierarchies inside workspaces suit a document set with real internal structure. Droplana has no folders at all; the client is the only level of organisation, and a large structured set inside one portal is a flat list.

Mobile apps and an API. Onehub has both. We have neither.

Watermarking and document controls. Present in Onehub, absent in Droplana.

Where Droplana is the better fit

Nobody has to log in. Onehub's guest access works through secure links that can carry a password, with a documented minimum length of ten characters. That is a sensible security default and it is still a credential somebody has to receive, store and produce again three months later.

Droplana has no client accounts and no passwords at any point. One permanent link per client, confirmed by email magic link or by an existing Google or Microsoft sign-in, with the device remembered for 90 days. For a client who deals with you twice a year, the absence of a credential is the difference between a document arriving and a support conversation.

The price stops moving. Onehub is per user with minimum user counts - three on Standard, five on Advanced - which is coherent for an organisation with many internal people sharing a workspace. If you are two people with four hundred clients, per-user pricing with minimums measures the wrong axis. Droplana is flat per business with unlimited clients on every paid plan.

EU-only, from an EU company. This is the sharpest difference in the whole comparison. Onehub is US-headquartered, and its Data Processing Addendum relies on the EU-US and UK-US Data Privacy Frameworks with Standard Contractual Clauses as an alternative - which is the standard, lawful apparatus for transferring personal data to the United States, and is exactly what you are choosing when you use it.

Droplana keeps files, comments and metadata on Hetzner infrastructure in Germany, with no other region available, under an entity registered in Croatia. There is no transfer question to answer because there is no transfer. For a European practice whose clients ask where their documents sit, that is a materially shorter conversation. The client relationship is the structure. Onehub organises by workspace and folder; you decide what a workspace represents. Droplana decides for you: one client, one portal, permanently. That is a limitation if your work has genuine internal structure, and it is the entire point if your problem is two hundred clients and no idea which of them still owes you a document. The checklist is per client and visible to them, so the chase moves off your desk.

Signing

Onehub routes signing through DocuSign - an established provider with its own legal standing, at its own additional cost.

Droplana signs in the browser natively and includes it. The client types, draws or uploads a signature; the signed PDF is saved as a new item with the original preserved, carrying a notation caption and a QR code; and every signature is recorded server-side with who signed, when, from what IP and with which login, plus a public verification page anyone can open, including a file-hash comparison.

The verification page is a genuine differentiator. It is also not a qualified or certificate-based signature and we do not call it tamper-proof - where a hard legal signing requirement applies, the integration route is better and that favours Onehub.

Who should pick which

Onehub if: you need a data room; you need bulk or unlimited storage; your documents have real internal structure; you want mobile apps or an API; or you want a custom domain on the portal.

Droplana if: your clients will not manage credentials; your team is small relative to your client list; you need EU-only storage from an EU company with no transfer mechanism involved; or your problem is recurring two-way exchange with many clients rather than one structured document set.

Some firms use both, and it is a clean split: a data room for transactions, a client portal for the ongoing relationship. There is very little overlap to resolve.
