Droplana FAQ: clients and access

Do my clients need an account?

No. Each client gets one private link to their own portal. They open it in any browser and everything is there — no signup, no password, no app.

That depends on the security level you choose. On the default Strict level, a client on a new device confirms their email with a magic link, and the browser is remembered for 90 days. Verified allows only one-time or email magic links, and Standard also allows permanent links for less sensitive work.

Can clients sign in with Google or Microsoft?

Yes — as a convenience, matched against an email you already added for them. OAuth never creates a client account; it only opens a portal that already exists.

Can one client see another client's files?

No. Every portal is isolated. Clients can't see other clients' files, comments, or that other clients exist at all.

Can I cut off a client's access?

Yes. You can revoke access at any time, and it takes effect immediately.

Files, storage, and limits

How big can files be?

100 MB per file on the Free plan, 1 GB on Pro, and 5 GB with a Storage addon. Any file type works.

How much storage do I get?

5 GB on Free and 100 GB on Pro, shared across all your clients. Each Storage addon adds 500 GB and they stack.

What happens when I hit my storage limit?

New uploads are blocked until you free up space or add storage. Nothing already uploaded is ever deleted automatically, and there is no surprise overage billing.

How long are files kept?

On Pro, indefinitely — there is no retention limit. The Free plan keeps files for up to 1 year.

Can I replace a file with a new version?

Files are immutable after upload — re-uploading creates a new file. Nothing gets silently overwritten, and you can set an expiration date on any file.

Security and privacy

Where is my data stored?

On EU infrastructure in Germany (Hetzner) — servers, database, and file storage. Transactional email goes through Brevo in France. A Data Processing Agreement is available; the security page explains the full setup in plain language.

Is my data encrypted?

All traffic uses TLS 1.2–1.3 with HSTS enforced. Files are stored under opaque random identifiers — never named after your clients or file contents — and are never exposed on the public internet.

Do you track me or my clients?

No marketing cookies, no visitor profiling, no tracking pixels in emails. Email is used for portal access and system notifications only.

What happens if I delete my account?

All active data is removed immediately. Backups exist for disaster recovery only and are not user-accessible.

Plans and teams

How much does Droplana cost?

Free: €0 — 1 client, 5 GB, 100 MB per file. Pro: €10/month + tax — unlimited clients, 100 GB, 1 GB per file. Billing is handled by Creem as Merchant of Record.

Do my clients ever pay anything?

Never. All limits and billing apply to your business only. Clients just use their link.

Can my team use one account?

On Pro, yes — up to 3 team members are included, and the Team addon (€20/month + tax) unlocks unlimited members.

What Droplana is not

Is Droplana an e-signature tool?

No. Clients sign on paper or in a PDF and return the signed copy to their portal. Droplana collects signed documents; it never applies a signature.

Can I manage projects in Droplana?

No. There are no tasks, boards, or timelines — it is not a project management tool.

Does it replace my cloud drive?

No. Keep your Drive or Dropbox for internal team storage and long-term archives. Droplana is the client-facing surface where the exchange happens.

Is there an API?

No public API and no integrations at this time.
