Droplana is a client portal and document-intake tool for service businesses. These instructions take you from a new account to your first client exchanging files — with nothing to explain on their side.

How to use Droplana in five steps
1. Create your account
Sign up with your email address. Droplana has no passwords — you get a magic link by email (valid for 15 minutes), or you can sign in with your Google or Microsoft account instead.
During signup you choose your business name. It becomes your own portal address, like yourstudio.droplana.com — every client link you share starts there.
The free plan includes 1 client, 5 GB of storage, and files up to 100 MB. No credit card needed.
2. Add your first client
A client is a name and an email address. That's the whole form.
Adding a client creates their private portal — one portal per client. Clients are fully isolated: no client can see another client's files, comments, or even that other clients exist.
3. Share the private link
Each client has one permanent portal address. Send it once — by email, chat, or however you already talk — and it stays valid until you revoke it.
How the client gets in depends on the security level you pick for your business:
- Strict (the default) — on a new device, the client confirms their email with a magic link. The browser is then remembered for 90 days.
- Verified — one-time or email magic links only; no permanent access links.
- Standard — all link types, including permanent links, for less sensitive work.
You can revoke a client's access at any time, and it takes effect immediately.
4. Send files — and collect them back
Upload files to a client's portal and they appear behind their link instantly. Any file type works.
The same portal works in reverse: your client uploads documents back to you in the same place. On a phone, they can photograph a paper document directly — no scanner, no app. Signed contracts, IDs, receipts, payslips: they all land in the portal instead of your inbox.
Files are immutable after upload — re-uploading creates a new file, so nothing gets silently overwritten. You can also set an expiration date on any file.
5. Track status and comments
Every file carries a status you control, and your client can mark a file as approved. Comments live on the file they belong to — visible only to you and that client, never to anyone else.
Comments are asynchronous — there is no chat to babysit. Check the portal when you have time; everything is where you left it.
Working with your team
On the Pro plan you can invite up to 3 co-workers to your business. The Team addon (€20/month + tax) unlocks unlimited team members. Clients always see one business, no matter how many people work behind it.

Each Storage addon (€25/month + tax) adds 500 GB and raises the maximum file size to 5 GB. When you hit your storage limit, new uploads are blocked — existing files are never deleted automatically.
What Droplana is not
A few things these instructions will never cover, because Droplana doesn't do them:
- E-signatures. Clients sign on paper or in a PDF and return the signed copy to the portal — Droplana never applies a signature.
- Project management. No tasks, no boards, no timelines.
- A cloud drive replacement. For internal team storage, keep your Drive or Dropbox — Droplana is the client-facing surface.
